[Google Drive 2019 New Feature] Real-time editing and collaboration features are now upgraded without MS Office file conversion

One of Google Drive new features announced at Google's Next 2019 conference on April 11th

In the meantime, it's possible to convert MS Office documents to Google Docs for real-time collaborative editing in Google Drive.

This upgrade enables real-time editing and collaboration without MS Office file conversion. Finally applied to G Suite version.

[Amazing discovery of Google Drive's "Quick Access" feature]

I have a document that works only on every Monday. This document is a weekly business plan document and is in Google Drive as a Google Spreadsheet document. This document will be edited only on Monday morning.

In other words, this document is a document that is rarely accessed in Google Drive for a week and is only edited momentarily on Monday morning.

When I logged in to Google Drive today to work on this document on Monday morning, I found that Drive automatically recommends this document (along with the message "I opened it at this time") in Drive's Quick Access.


After a careful review of the documents displayed in the 'quick access' section over the last week, it has been confirmed that it does not show frequently accessed documents or recently accessed documents.

Google Drive analyzes every pattern you work on (A.I technology based on Google's Machine Learning). Based on the results of this analysis, I can quickly recommend the documents I need in the 'Quick Access' section.

Google is making Google Drive's "Priority" and Workspace features a "Quick Access" feature. Priority & Workspace functionality is currently in beta testing.

Priority and Workspace help me quickly find the documents I need on my drive (which can increase efficiencies by more than 50%), and save time creating folders and sorting documents.

Background

G Suite Business (Unlimited) and G Suite for Education is a new addition to Google Drive. It's a new addition to complement the functionality you need to team-collaborate on your existing Google Drive.
  
Note: This white paper was completed in December 2016. I have been selected as a beta tester by Google's Early Adopter Program and are based on tests that are only allowed on a domain. It is currently in beta. Google's full release is scheduled for early 2017. The information below is subject to change in the official release version

Constraints on Google Drive  
  • If the owner of the document or files in the shared folder retires and the administrator deletes the account, all files and documents created by the retiree will be deleted.
  • If you've shared Drive folders with Google Groups, you can add new members to Groups. You will need to reshare these new members with the Drive folders or documents that were previously shared with the group.
    • The marketing department manager creates a Marketing folder within Google Drive and shares the folder with the Google groups - marketing@mycompany.com. If you currently have 5 members in the markting@mycompany.com group, the Marketing folder will be shared to 5 people. In the future, new employee, Charly, joins the marketing department. It is added as a member to the marketing@mycompany.com. all the materials previously shared with marketing@mycompany.com should be shared to Charly. However, the Marketing folder in Google Drive is not automatically shown on Charly’s Google Drive.  The marketing department manager can resubmit the owner of the Marketing folder to Charly.
    • There are restrictions on centralized control or team specific drive management functions.
    • In Google Drive, all files are managed by the owner created by the individual account. This means that you can not have full ownership of shared folders and all files stored in folders.
    • Each individual owns ownership of documents or files created with individual accounts. Files with different ownership can coexist within a shared folder. This makes it difficult to manage the files of each owner.
      • If file owners intentionally delete files or move them to another folder, the files will not be visible in other people's folders they share.
    • It is difficult to build a form like a centralized controllable file server for a company-wide or team-specific, department-specific.
    • After you create a Team Shared Folder, you can not give team members rights to create folders in subfolders and prevent them from being deleted or moved.
    • The administrator does not have a way to modify the share permissions of the folders users create. (Sharing permissions can only be changed by the folder owner)

What is Team Drive?


Team Drive is a shared space that allows you to collaborate with your team. This is a new service to complement the functionality you need for team collaboration in your existing Google Drive.

Team drives, like existing Google Drive, can use team drives for all users with G Suite Business (Unlimited) and G Suite for Education accounts.

Administrators can block users from creating new team drives by January 1, 2018, and from then on, all users will be able to create team drives.

With Team Drive, you can freely create and share folders and subfolders just like Google Drive does. However, there is a new rule for sharing as below.

How to use Chromebook in offline


Chromebooks are only devices you can use when you have an Internet connection. In the early days when Chromebooks were introduced to the market, there was little work to do with Chromebooks unless the Internet was connected. As a result, Chromebook models with 4G / LTE features that were always available on the internet used to be sold. (Devices supporting 4G / LTE were sold 1.5-2 times more expensive than devices supporting only WiFi)



At one time, as well as those with a critical perspective on Chromebooks, Chromebook competitors criticized it as a very limited computer that could not be compared to computers that could create documents, write emails, play games, edit photos, I have done.

In the meantime, Google has upgraded many features for Chromebooks. And also, many features have been upgraded to work offline.

Here are some of the top apps that let Chromebook users work offline.
  • Write an email. Gmail offline (Gmail offline app install from the Chrome Web Store) allows you to read, reply to, search, and archive messages without an Internet connection. Gmail Offline will send mail that was created offline as soon as the Internet is connected.

  • View the calendar. If you access offline from the Google Calendar app, you can view your calendar in a read-only version. To work in calendar offline mode, you must first sign in to My Calendar and choose Offline mode in Settings.

  • View, create, and edit documents. The Google Drive app lets you view and edit Google Docs and presentations, spreadsheets, and drawing files. You must select "Offline" in your Google Drive settings for offline use.

  • View and modify images. Your Chromebook comes with a built-in photo editor, so you can view and edit photos stored on your Chromebook. If you click the image in the file explorer, you can edit the image as follows (crop, image brightness, rotation)

  • Listening to music. You can play music stored on your Chromebook while offline. You can also copy music files directly from your storage device, such as a USB memory or SD card, to your Chromebook.

  • Watch the video. You can download movies and TV episodes to watch offline on the Google Play Movies & TV app. Videos purchased on the Google Play Movies site can be downloaded offline and viewed on your Chromebook. (You will not be able to watch movies on an external USB stick because you can not watch them on multiple Chromebooks or mobile at the same time with the same account.) If you download from one device and watch offline on other devices while offline, You need to delete downloaded movie)
  • View Microsoft Office and Adobe .pdf files. Easily view MS Office documents and PDF files with your Chromebook without an Internet connection. (See 'Handling MS Office Documents')
  • Take notes. You can use Google Keep to create and save simple notes, which are stored in the Cloud when you connect to the Internet. (Install the Google Keep notes and lists app in the Chrome Web Store)
  • View web pages offline. If you've saved your webpage for offline viewing later, you can open it on Chrome on your Chromebook.
  • Playing games. The Chrome Web Store offers hundreds of games and offers a variety of games that you can enjoy offline, like Angry Birds or Cube Slam.

With the release of Chrome OS version 53, you can install most of the Android apps on the Google Play Store and use them offline. As a result, finding and using offline apps on your Chromebook has become meaningless in the future.

There are over one million Android apps on the Google Play Store. You can install most of them on your Chromebook. Most of these apps work in offline mode

[TIP:Google Drive] Differences between Transferring ownership of documents, Copying Document, and Creating a virtual file for a document?


What are differences between Transferring ownership of documents, Copying Document, and Creating a virtual file for a document?

(Subtitle: Cautions for Collaboration in Google Drive)



This is one of the key issues we hear from Google Drive-intensive customers.

“"Folders and files created by me in My Drive are shared between departments, projects, and external team members, and shared files sometimes disappear or disappear unintentionally when collaborating. How can I find and restore these files? "

There are things to be aware of when creating and collaborating with others by creating a file or folder on Google Drive.

  1. Be careful when transferring or deleting files or folders that someone shared with you to My Drive
    1. When you move a file that someone else has shared with you in My Drive, never drag it to another folder.
    2. This moved file will disappear from the shared owner's folder and all shared team members' folders. (This is called an orphaned file.) Due to this phenomenon, even the owner who created the document may lose the file in the folder.
    3. When you move a shared file to another folder in My Drive, you must use it to 'CTL key (ALT' key on Mac) + drag mouse '(copy virtual file).
    4. When copying a virtual file, '+' icon will be shown.
    5. Virtual file copying means that the original is kept in its original location and is virtually added to my drive. In other words, it is not to copy the owner's file to make a copy, but to make the link information of some kind of file be added to another place. When the virtual file is modified, the original is also automatically modified.

 


  1. Differences between transferring file ownership and copying files
    1. One of the special features of Google Drive is that there is an "Owner" You can delete documents or folders created by the owner only.
    2. When you view detailed information for a file, you'll see who is "owner" and who has shared it. The owner can pass ownership of the document to anyone else who wants it (only those who have a Google Account on the same domain).
    3. When an employee leaves the company, the administrator can transfer all the files in the drive of the leaving person to another person in the same domain. If you want to transfer it in part, you must manually transfer the ownership by selecting the documents or files in My Drive (do not copy the drive but transfer ownership)
    4. The major difference between making copies of documents and transferring ownership is that,
      1. If you make a copy - the revision history, the version history, and the comment history of the  document will be removed.
      2. If you pass over ownership - The original is not copied and there is only one copy and all the record information (revision history, version history, comment history, etc.) existing in the document is preserved.
    5. Transfer of ownership is only allowed within the same domain. Users with personal gmail accounts can transfer ownership to and from individual gmail users. For example, kim@gmail.com can transfer documents to hong@gmail.com.

  1. Difference between Copy File and Virtual File creation (CONTROL Key + Mouse Drag-in-Drag-out)
    1. One of the other features of Google Drive is the ability to create virtual files.
    2. Generally, a file copy means it make a duplicated file.
    3. Creating a virtual file means that there is only one file in the original, and not copying, but creating only the link information of the original file.
    4. You can create virtual files to as many folders as you want, and when you modify the virtual file, the original is also automatically modified at the same time. Of course, if you delete this virtual file, the original will also disappear.

  2. How to search and restore orphaned files (files that were not deleted but could not be found in My Drive)
    1. One of the things that can happen only with Google Drive is that you can have orphaned files.
    2. Scenarios for Orphaned files
      1. The owner kim@mycompany.com shares the folder Project-A to hong@mycompany.com and the owner creates the document "Agenda" in the Project-A folder
      2. the hong@mycompany.com deletes the Agenda document from the Project-A folder or moves it to another folder.
      3. If this happens, the "Agenda" document will disappear from the folder "Project-A" in the owner's drive.
      4. These files are called orphaned files: this "Agenda" document can not be found in the trash because it was not physically deleted because it was not deleted by the owner.
    3. How to find and restore an orphaned file or folder
      1. Search with "is:unorganized owner: me" in the search box of the owner drive and the search result is displayed, you can select the file or folder and move to the desired folder.

[Tip: Attachments in Gmail] Update an incorrectly sent attachment (like MS Office/PDF files) without resending

When sending an attachment via Google Gmail, the file size is limited to 25MB.
In other words, files that can be sent as attachments can not be sent over 25MB in size. If you send attachments in the traditional way, if the contents are incorrect after the send, or if the sent attachments are modified, you have to resend them.

However, with GMail, attachments can be sent as links via Google Drive.
The original file exists in my Google Drive and only the link information of that file is sent. This allows G Suite users to send links up to 5TB.

I upload all attachments on the drive and send them in a link. In particular, PDF files and MS Office document files will be sent by this link method. Sometimes, after sending a link to an MS Office document or a PDF file, the originals may be wrong and you may need to resend the revision.

In the old days, you would need to modify the file and send it back to the recipients, but with version control in Google Drive, you can use version control to add the latest version of the file to the document Just upload.


When sending attachments from Gmail, send them via Google Drive as in the image above.



Like PDF documents, non-Google document formats on Google Drive can take advantage of version control. You can upload and maintain multiple versions of a document. These documents, which are delivered as links, will maintain the latest version of the document if the uploaded version of the file is uploaded without any changes to the link.

[Maximum file size of one file that can be stored in Google Drive]

G Suite users are often confused. What is the maximum size of attachments that you can currently send through Gmail? As you already know, attachments in gmail can only be sent up to 25MB. However, it can be confusing if the size of the file you can send to a URL link via Google Drive is 10GB, 1TB, or 5TB.

In Gmail, the maximum size of a file you can send as an attachment is 25 MB. However, if you want to send files over 25MB in size, you can use Google Drive to save the file and send the file as a URL link. At this time, the maximum size of one file that can be sent as URL link can be up to 5TB. (In the past, 10GB, 1TB, now up to 5TB) In other words, the maximum size of a file that can be stored in Google Drive is 5TB.

The maximum file size limitation of G Suite Basic, G Suite Business (Unlimited) and G Suite for Education are the same.

[TIP] How to use Google Spreadsheet for collaboration


Guide to Collaborative Editing With Google Spreadsheet

I would like to introduce some of the essential things you need to know to collaborate with your team through Google Spreadsheet.


Sometimes you need to collaborate using Excel documents. There are too many limitations when trying to collaborate with team members using Excel or Excel Online in MS Office 365. MS Excel may not be suitable for collaborative document work with Excel documents.

Google Spreadsheet has important features for collaborating with team members. Understanding these features will enable you to maximize your work efficiency through collaboration among your team members.

Here is a good Business Case.

  • I am the sales manager with 5 members.
  • Share my Sales Report  with my members  and have them write their sales reports.
  • Some of the members are not familiar with spreadsheets. They can spoil things by not entering them well.
  • I should check all the records that members have edited or typed.
  • If someone in your group modifies or changes a sheet, I'll automatically be notified.
  • Members can edit or type in everything on the sheet, but some important data can only be viewed and can not be modified.
  • Some of the members can only view the sheet contents, can not be modified, and some sheets in the spreadsheet with sensitive information should not be visible to the members.
  • On the sheet, photos taken on the field should also be saved so that they can be shared among the members.
  • Once the Sales Report is complete, it should be posted on the Company's internal site as a graph chart so that it can be viewed by all employees.

    Protected Sheet and Range

If you need to collaborate with your team on a sheet you've created, you'll need to give them permission to edit. Spreadsheet documents may contain sensitive sheets or specific data that others should not tamper with. This data needs to be kept from being modified by other members.

Google Spreadsheet has a 'Protected Sheet and Range' feature. You can specify a range of cells for a particular sheet so that they can not modify this range.

 

 Hide Sheet

Some of your team members may not have permission to edit, but only view. Spreadsheets have sensitive sheets that the view authority can not see. Google Spreadsheet provides the ability to hide sheets. If you hide the selected sheet, users with view privileges will not be able to see the contents of that sheet.

Data Validation


Collaborating members may accidentally enter data incorrectly. To prevent this, you can specify the allowable range of the input data, input only the specified list data, or input only the data of the specified date range. This prevents accidental input of unacceptable data. This feature is essential if you need to work collaboratively through collaborative editing.



Filter Views

In some cases, the members you are working on may need to arrange them in order for a particular column. When a member attempts to sort, the order of the data in the original is changed. To prevent this, you can sort the data of the desired column only by yourself without affecting the original data. In Google Spreadsheet, the Filter Views feature allows you to sort the columns you need only without affecting the original.

I recommend using the Filter Views feature if the members do not have any effect on the original data and each wants to sort and view the data.


Conditional formatting  


Members who share the sheet need to be able to view the data easily. Google Spreadsheet provides the ability to specify the background color for data (Cell, Row, Column) satisfying a certain condition through conditional formatting function.

Image Sharing

One of the most common features of collaborating with Spreadsheet documents is the ability to insert and share images on a sheet.

There are two ways to insert images into Google Spreadsheet.

1). You can upload images from your local PC via Menu -> Insert -> Image, or upload from Google Photo albums, Google Drive. However, you can not insert an image into a sheet cell.

2). You can use Function - image () to insert an image into a specific cell. This way, you can insert an image into the cell. However, you can not upload images from my local PC, but only images that are public on the web

Notification Rules

Members who share a sheet can automatically receive notifications when they edit or enter data. Spreadsheet provides the ability to specify 'Notification rules'. You can use this feature to specify a notification rule.


Comments


You can communicate through comments in Spreadsheet between members who are co-editing. You can send 'comments' to members by specifying a specific cell. Members who receive comments can reply.

Chart Publishing


You can create a chart on the sheet or by using the ‘Explorer’ (bottom right of the sheet) function. Once the chart is created, you can publish it to the web or to your site. Charts published on the web will automatically change the charts published on the web when the data in the sheet source changes.
