[Compare Google Spreadsheet Functions vs. Excel Functions in details]

Google Spreadsheets has been updated dramatically. More features will be updated in the future.

I compared how Excel spreadsheet is compatible with Excel, how many functions it provides, and how many types of functions.

The total number of functions provided by MS Excel is 504 (as of July 2022). (Refer to Microsoft site.)

The total number of functions provided by Spreadsheet is 494. (Refer to Google Site)

Please refer here for the one-by-one comparison of each function and the detailed analysis of function definition and explanation. In this sheet, I have compared the functions in this sheet as shown below.

What I felt when creating this analysis was that Google Spreadsheets now offers nearly all the important features, although it is not 100% identical to MS Excel. Google recently added a macro feature to Google Spreadsheets. This means that it offers almost all of the features that MS Excel has.

I know that MS Excel is different from the function of online office 365 and the function of installed Excel. In other words, browser-based online Excel has functional limitations compared to installed Excel. Google Spreadsheets, on the other hand, is 100% cloud-based and has the advantage of being immediately available with a browser and is also free.

See here for a detailed comparison of Google Spreadsheet functions and Excel functions.

[Test for Chromebook Auto Update Expiration (AUE) if it is working or not]

I have read an article saying that a Chromebook may have an auto-update validity period, and I ran the following tests to verify it:

The official Google Help Center mentions that automatic update expiration dates are set for Chromebooks (ChromeOS devices).

In fact, I tested with a Chromebook that expired the auto-update  (Acer Chromebook 11 C720P, a device whose auto-update expired in June 2019).

The expiration date for automatic updates for each device on your Chromebook is mentioned in the Google Official Help Center below. I tried to update today the Acer Chromebook 11 C720P model, which appears to have expired in June 2019. We have confirmed that today's date is updated to the most recent version. Just like the attached capture image

"This is the last automatic software and security update for this Chromebook. To get future update, upgrade to a newer model '

In fact, the Chromebook device-specific auto-update expiration mentioned in the Google Help Center seems to be working.

Please note the bellowing:

Auto Update policy

Overview

Chrome devices receive automatic updates regularly that enhance both the device itself and the software on the device. Chrome device updates are designed to be simple for the user and, therefore, include updates to the device, Chrome operating system, browser and firmware. However, end-to-end updates for all our devices to ensure the highest levels of security requires dependencies on many third-party hardware and software providers so we cannot indefinitely ensure that older Chrome devices will receive updates to enable new OS and browser features.

General policy

  • Each device has an Auto Update Expiration (AUE) date listed; this means that before this date, devices will receive new software updates from Google.
  • Google provides each new hardware platform with 6.5 years of Auto Update support. Multiple devices can share the same hardware platform. The 6.5 years starts when the first device on the platform is released(1). Manufacturers are advised to choose the newest platforms to ensure that they produce devices that have the longest Auto Update support available.
  • Google will provide advanced notice of a model’s AUE date on this page, giving buyers time to make purchase decisions. Devices that are due to have an AUE date within 90 days will be highlighted in bold. Please check the Auto Update Expiration date when making a purchasing decision.
  • Chrome device models that have not reached their AUE date will continue to receive OS updates and function with the business and education management service.
  • When a device reaches AUE, it means that automatic software updates from Google will no longer be provided.
  • Enrolled Chrome devices that have reached their AUE date will no longer receive technical support from Google.
  • Business and education customers using devices that have passed their AUE date should not expect that they can manage their devices as expected using the Google Admin console or leverage new management features released.
  • The End of Sale date is controlled by the manufacturer of the device model and has no relation to model’s AUE date.

[What is Team Drive?] for G Suite Business and G Suite for Education (White Paper)

Finaly. Google announced Team Drives officially for G Suite Business and G Suite for Education at Next 2017. Here is the more detail information on what the Team Drive is and how to use.

Team Drive  White Paper
What is Team Drive?
G Suite Business/G Suite for Education

Background

G Suite Business (Unlimited) and G Suite for Education is a new addition to Google Drive. It's a new addition to complement the functionality you need to team-collaborate on your existing Google Drive.

Note: This white paper was completed in December 2016. I have been selected as a beta tester by Google's Early Adopter Program and are based on tests that are only allowed on a domain. It is currently in beta. Google's full release is scheduled for early 2017. The information below is subject to change in the official release version

Constraints on Google Drive
  • If the owner of the document or files in the shared folder retires and the administrator deletes the account, all files and documents created by the retiree will be deleted.
  • If you've shared Drive folders with Google Groups, you can add new members to Groups. You will need to reshare these new members with the Drive folders or documents that were previously shared with the group.
    • The marketing department manager creates a Marketing folder within Google Drive and shares the folder with the Google groups - marketing@mycompany.com. If you currently have 5 members in the markting@mycompany.com group, the Marketing folder will be shared to 5 people. In the future, new employee, Charly, joins the marketing department. It is added as a member to the marketing@mycompany.com. all the materials previously shared with marketing@mycompany.com should be shared to Charly. However, the Marketing folder in Google Drive is not automatically shown on Charly’s Google Drive.  The marketing department manager can resubmit the owner of the Marketing folder to Charly.
    • There are restrictions on centralized control or team specific drive management functions.
    • In Google Drive, all files are managed by the owner created by the individual account. This means that you can not have full ownership of shared folders and all files stored in folders.
    • Each individual owns ownership of documents or files created with individual accounts. Files with different ownership can coexist within a shared folder. This makes it difficult to manage the files of each owner.
      • If file owners intentionally delete files or move them to another folder, the files will not be visible in other people's folders they share.
    • It is difficult to build a form like a centralized controllable file server for a company-wide or team-specific, department-specific.
    • After you create a Team Shared Folder, you can not give team members rights to create folders in subfolders and prevent them from being deleted or moved.
    • The administrator does not have a way to modify the share permissions of the folders users create. (Sharing permissions can only be changed by the folder owner)

What is Team Drive?

Team Drive is a shared space that allows you to collaborate with your team. This is a new service to complement the functionality you need for team collaboration in your existing Google Drive.

Team drives, like existing Google Drive, can use team drives for all users with G Suite Business (Unlimited) and G Suite for Education accounts.

Administrators can block users from creating new team drives by January 1, 2018, and from then on, all users will be able to create team drives.

With Team Drive, you can freely create and share folders and subfolders just like Google Drive does. However, there is a new rule for sharing as below.

Compare core Google+ and G Suite Google+ features

Google+ has features for end users and  for business G Suite versions. Let's review the differences between Google+ for end users and Google+ for G Suite.

Compare core and business features

Google+ includes business features in addition to the same core functionality as the consumer version of Google+ for G Suite customers. With Google+, you can restrict Google+ to only certain users, control whether you share data with users outside your domain, and manage your social collaborations in a variety of ways.
.G Suite Administrators can perform the following functions:
  • Turn Google+ on or off for everyone or for a specific user.
  • By default, keep your posts and communities outside of your organization's domain.
  • Correct the age of the user who mistakenly entered it incorrectly when signing up.
  • Controls whether search engines index user profiles.
  • Control whether third-party apps use the Google+ API.
  • Manage your Google+ profile. For example:
    • Identify who has a Google+ profile in your organization's domain.
    • Create and manage Google+ profiles for users in your domain.
    • Block users from changing their Google+ profile name.
Google+ users in your organization can:
  • Easily share content internally with everyone in your domain without having to add everyone in your organization to your circles. Together with your shared circles, your organization's domain name will be shown to users as a sharing option.
  • You can override the default sharing settings for individual posts and communities.
  • Update your profile search feature settings.
  • Profile labels recognize different Google+ users in your domain, so you can easily distinguish them from individuals or other external profiles.
  • Restrict posting to your organization's domain only. People who have received private posts will not be able to reshare this post with users outside of your organization.
If you use Google+ within a domain, just like the images below, it will only give you the ability to organize communities within your domain. In addition, communities created within a domain can be made public within the domain or privately. Communities that are created privately in your domain can only be secretly engaged in community activities. Private communities are not exposed through search within the domain. Only members who are secretly subscribed can be made available. This is one of those features not available for regular Google+.

[Maximum file size of one file that can be stored in Google Drive]

G Suite users are often confused. What is the maximum size of attachments that you can currently send through Gmail? As you already know, attachments in gmail can only be sent up to 25MB. However, it can be confusing if the size of the file you can send to a URL link via Google Drive is 10GB, 1TB, or 5TB.

In Gmail, the maximum size of a file you can send as an attachment is 25 MB. However, if you want to send files over 25MB in size, you can use Google Drive to save the file and send the file as a URL link. At this time, the maximum size of one file that can be sent as URL link can be up to 5TB. (In the past, 10GB, 1TB, now up to 5TB) In other words, the maximum size of a file that can be stored in Google Drive is 5TB.

The maximum file size limitation of G Suite Basic, G Suite Business (Unlimited) and G Suite for Education are the same.

[TIP] How to use Google Spreadsheet for collaboration

Guide to Collaborative Editing With Google Spreadsheet

2016/12/27 by Charly Choi

I would like to introduce some of the essential things you need to know to collaborate with your team through Google Spreadsheet.

Sometimes you need to collaborate using Excel documents. There are too many limitations when trying to collaborate with team members using Excel or Excel Online in MS Office 365. MS Excel may not be suitable for collaborative document work with Excel documents.

Google Spreadsheet has important features for collaborating with team members. Understanding these features will enable you to maximize your work efficiency through collaboration among your team members.

Here is a good Business Case.

  • I am the sales manager with 5 members.
  • Share my Sales Report  with my members  and have them write their sales reports.
  • Some of the members are not familiar with spreadsheets. They can spoil things by not entering them well.
  • I should check all the records that members have edited or typed.
  • If someone in your group modifies or changes a sheet, I'll automatically be notified.
  • Members can edit or type in everything on the sheet, but some important data can only be viewed and can not be modified.
  • Some of the members can only view the sheet contents, can not be modified, and some sheets in the spreadsheet with sensitive information should not be visible to the members.
  • On the sheet, photos taken on the field should also be saved so that they can be shared among the members.
  • Once the Sales Report is complete, it should be posted on the Company's internal site as a graph chart so that it can be viewed by all employees.

    Protected Sheet and Range

If you need to collaborate with your team on a sheet you've created, you'll need to give them permission to edit. Spreadsheet documents may contain sensitive sheets or specific data that others should not tamper with. This data needs to be kept from being modified by other members.

Google Spreadsheet has a 'Protected Sheet and Range' feature. You can specify a range of cells for a particular sheet so that they can not modify this range.

 Hide Sheet

Some of your team members may not have permission to edit, but only view. Spreadsheets have sensitive sheets that the view authority can not see. Google Spreadsheet provides the ability to hide sheets. If you hide the selected sheet, users with view privileges will not be able to see the contents of that sheet.

hide sheet.gif

Data Validation

Collaborating members may accidentally enter data incorrectly. To prevent this, you can specify the allowable range of the input data, input only the specified list data, or input only the data of the specified date range. This prevents accidental input of unacceptable data. This feature is essential if you need to work collaboratively through collaborative editing.

Filter Views

In some cases, the members you are working on may need to arrange them in order for a particular column. When a member attempts to sort, the order of the data in the original is changed. To prevent this, you can sort the data of the desired column only by yourself without affecting the original data. In Google Spreadsheet, the Filter Views feature allows you to sort the columns you need only without affecting the original.

I recommend using the Filter Views feature if the members do not have any effect on the original data and each wants to sort and view the data.

Conditional formatting

Members who share the sheet need to be able to view the data easily. Google Spreadsheet provides the ability to specify the background color for data (Cell, Row, Column) satisfying a certain condition through conditional formatting function.

Image Sharing

One of the most common features of collaborating with Spreadsheet documents is the ability to insert and share images on a sheet.

There are two ways to insert images into Google Spreadsheet.

1). You can upload images from your local PC via Menu -> Insert -> Image, or upload from Google Photo albums, Google Drive. However, you can not insert an image into a sheet cell.

image insert.gif

2). You can use Function - image () to insert an image into a specific cell. This way, you can insert an image into the cell. However, you can not upload images from my local PC, but only images that are public on the web

Notification Rules

Members who share a sheet can automatically receive notifications when they edit or enter data. Spreadsheet provides the ability to specify 'Notification rules'. You can use this feature to specify a notification rule.

Comments

You can communicate through comments in Spreadsheet between members who are co-editing. You can send 'comments' to members by specifying a specific cell. Members who receive comments can reply.

Chart Publishing

You can create a chart on the sheet or by using the ‘Explorer’ (bottom right of the sheet) function. Once the chart is created, you can publish it to the web or to your site. Charts published on the web will automatically change the charts published on the web when the data in the sheet source changes.

Unboxing Chromebit for Digital Signage

A set of 3 ChromeOS devices (Chromebook, Chromebox, Chromebit) I am using.
In the meantime, I was  useing Chromebooks and Chromeboxes based on Chrome OS, but recently I bought a Chromebit that was released by Asus.

The purpose of this Chromebit purchase is to compare how much better the Chromebook and Chromebox compared to the Chromebit, but the main purpose is to register as a Chrome Device Management Console device and review whether it is good for the ChromeOS Kiosk and Digital Signage.

I think that the Chromebit size (about the size of the thumb) and the price ($ 85) would have a positive ratio and would be a signage kiosk device. After this release, Chrome OS and Kiosk apps will be linked to the second installment.

Thumb-sized ChromeOS devices - 2GB Ram, 16GB storage, WiFi 802.11ac, Bluetooth 4.0, 1 USB 2.0 port, HDMI port, price $ 85

As an option, I bought a Logitech wireless keyboard (wireless dongle + keyboard + touchpad) for $ 25 and a set of Chrome OS devices.

Box components are very simple - power cord, sticker to monitor, chrome comb body, HDMI extension cable.

Plug-in the Logitech keyboard wireless dongle into the USB 1 port terminal, plug in the power cord, and plug it into the monitor's HDMI port to boot up immediately

YouTube launch screen

After signing in with an existing G Suite account, we found that it performs significantly better than writing Gmail and Drive documents.
